Required qualifications, skills, experience
- Trained on modern telephone systems and with experience in a professional office.
- High standard of inter-personal and communication skills, especially in the context of client care.
- Proficient in spoken and written English
Role
- To process all incoming telephone calls promptly and in a courteous and helpful manner.
- To receive and process all visitors, especially clients, in a helpful, friendly and professional manner
- High degree of responsibility to project the image and ethos of the firm at all times.
- To provide cost effective administrative and secretarial support to team.
Main responsibilities
- Effective processing of all incoming telephone calls including the logging of calls and the conveying of messages.
- Dealing with all visitors to the reception area, especially new clients.
- Administration of the printer / fax / scanner machine.
- Ensure the tidiness of the Reception Area.
- Other clerical and administrative duties as may reasonably be required from time to time.
- Ensure the confidentiality and security of the firm’s and clients’ documentation and information.
- Prepare correspondence and documents when required
- Filing function – including daily filing, opening, closing, storage and retrieval of client files.
- Prepare mail and enclosures for despatch.
- Arrange for all copying to be done, in person if necessary.
- Make appointments, arrange meetings and to maintain an up-to-date diary for team.
- Prepare the Conference Room for meetings as necessary and for the tidying and clearance of the room at the end of the meeting.
- Provide refreshments when asked to do so.
- Attend clients both in person and on the telephone and to provide such support in a professional and friendly manner in keeping with the firm’s standards for client care.
- Undertake any specific training when required to do so and overall to have a responsibility towards self-development.
