Required qualifications, skills, experience

  • Trained on modern telephone systems and with experience in a professional office.
  • High standard of inter-personal and communication skills, especially in the context of client care.
  • Proficient in spoken and written English

Role

  • To process all incoming telephone calls promptly and in a courteous and helpful manner.
  • To receive and process all visitors, especially clients, in a helpful, friendly and professional manner
  • High degree of responsibility to project the image and ethos of the firm at all times.
  • To provide cost effective administrative and secretarial support to team.

Main responsibilities

  • Effective processing of all incoming telephone calls including the logging of calls and the conveying of messages.
  • Dealing with all visitors to the reception area, especially new clients.
  • Administration of the printer / fax / scanner machine.
  • Ensure the tidiness of the Reception Area.
  • Other clerical and administrative duties as may reasonably be required from time to time.
  • Ensure the confidentiality and security of the firm’s and clients’ documentation and information.
  • Prepare correspondence and documents when required
  • Filing function – including daily filing, opening, closing, storage and retrieval of client files.
  • Prepare mail and enclosures for despatch.
  • Arrange for all copying to be done, in person if necessary.
  • Make appointments, arrange meetings and to maintain an up-to-date diary for team.
  • Prepare the Conference Room for meetings as necessary and for the tidying and clearance of the room at the end of the meeting.
  • Provide refreshments when asked to do so.
  • Attend clients both in person and on the telephone and to provide such support in a professional and friendly manner in keeping with the firm’s standards for client care.
  • Undertake any specific training when required to do so and overall to have a responsibility towards self-development.
